Unleash Your Potential at the 2022 VSP Ambassador Meeting

For the first time in two years, VSP Vision™ is excited to invite you to an in-person VSP Ambassador Meeting, which will be held from May 20 - 21 at the Grand Hyatt Hotel in Denver, CO.

The Ambassador Meeting is an opportunity for you to learn more about:

  • Efforts to support doctors and the long-term success of the profession
  • Business strategy updates
  • Valuable insights from the healthcare, insurance, and optical industries

You’ll have the opportunity to connect with your fellow Ambassadors and board members while exploring Denver. You’ll also have access to VSP® leadership, who will be available to provide additional insights and perspectives on key business initiatives and answer your questions.

The information you’ll receive will help support you in your role as an Ambassador, preparing you to navigate conversations about VSP with your peers, and unleash your potential as a VSP Ambassador.

We are excited to engage with you all in person, recognize your contributions as Ambassadors, and provide an inspiring weekend of learning and connection.

What to Know Before You Go

Before you go, there are things you need to know that will help elevate your experience for the event. Below are more details for reference, as well as the final agenda:

Evening Events

As a reminder, your guest is invited to attend the dinner events on both Friday and Saturday night.

Friday Evening: Colorado Rockies vs New York Mets Baseball Game. We will have a few suites for our group and dinner will be served at the game. We will provide transportation to and from the game.

Saturday Evening: Dinner at Ironworks, an event venue located in the heart of Denver that is rich in history, meticulous in design, and genuine with hospitality.

The dress code will be business attire (e.g. sports coat, button-down shirt, dress pants, blouse, dress, or skirt) and we will provide transportation to and from dinner.

Professional Headshots

Professional headshots will be taken for everyone on Saturday morning onsite during breakfast—please pack and dress accordingly. We have opted to use a white background, so it is suggested that darker colors be worn. Navy, black, and gray are suggested for suit coats over a white shirt for men, while navy, black, or dark gray blouses and dresses with sleeves are suggested for women.

Frequently Asked Questions

  • Am I required to attend the Ambassador Meeting?

While it is not required, it is highly encouraged that you attend because it will provide valuable information to support you in your role as a VSP Ambassador and in navigating conversations with your peers.

Please note that being a VSP Ambassador requires participation in a minimum of 80% of Ambassador activities.

  • Will the agenda be shared prior to the meeting?

Yes, we will share the agenda prior to the meeting, once it’s final.

  • Will VSP be following COVID-19 protocols for the meeting?

Safety is our top priority. While we’re excited about getting together in person, we’ll be monitoring the status of the pandemic and will only proceed with a live session provided it can be done so safely. We will be sure to follow all local COVID protocols requested by the Grand Hyatt Hotel, as well as other restaurants and establishments we visit during the meeting.

  • Do I need to pay for my own travel and hotel accommodations?

VSP will sponsor your and a guest’s arriving and departing flights, transportation to and from the airport, and hotel accommodations in the same room.

  • What meals and activities are covered?

VSP will sponsor breakfast, lunch, and dinner on Friday, May 20 and Saturday, May 21 for Ambassadors. Your guest is welcome to join our evening events/dinners on Friday and Saturday. Any additional events that you and your guest plan outside those sponsored by VSP will be at the Ambassador and guest expense.

Note: We’ll share more information soon about the Friday and Saturday night dinners/events, including any theme or recommended attire information.

  • Do I have to book my own travel accommodations?

FROSCH is our travel agency and will manage all booking needs for you and a guest, including hotel room accommodations, arriving and departing flights, and transportation to and from the airport. Please fill out the information on this form as soon as possible. Once complete, a representative from FROSCH will contact you to book your travel needs.

  • Which airport will I be flying into?

The Denver International Airport in Denver, Colorado. The airport is approximately 45 minutes from the hotel.

  • Which hotel will I be staying at?

The Grand Hyatt Hotel in Denver, Colorado. The address is 1750 Welton Street, Denver, CO 80202.

  • Will I be compensated for the time out of my practice?

Yes, you will be paid four full-day per diems to accommodate for your two travel days and two meeting days. Note: any Ambassadors who live locally to where the meeting is held will receive a half-day per diem on their two travel days, instead of a full-day per diem due to travel time being less.

  • Will I need to submit for reimbursement after the meeting?

The Ambassador Support Team will enter your per diems on the back end after the meeting for your two travel days and two meeting days. However, if you have any other expenses you need to be reimbursed for after the meeting, you’ll need to submit them in Concur on your own. These can include things such as: parking at the airport, car mileage to and from your local airport, baggage fees, and up to $75 in meals on your travel days. In order to submit for reimbursement, you’ll need to save all your receipts to upload them in Concur after the meeting. Note: receipts are required for all charges $25 or more and encouraged for lesser charges.

  • If I’m unable to attend, is there a way to share the content?

We will not be recording any of the sessions. Following the meeting, we will share out a recap and any follow up resources to the group.
